Scheduling Appointments

Overview

An appointment is an activity that occurs at a specific time that does not require inviting other people, or reserving a room or equipment. Some appointments are recurring appointments, meaning that they occur regularly on specific dates and times. You can set a reminder to have Outlook remind you of an appointment. Outlook sets a 15 minute reminder on all appointments by default, which can be changed. Outlook uses the term meeting to refer to a calendar activity that requires inviting other people, reserving a room or ordering equipment.

An appointment can be scheduled by:
- Typing directly into the appointment area
- Using the New Appointment button
- Using the File menu

Practice Exercise

  1. 0pen MS Outlook and display the Calendar.
  2. Using the Date Navigator, select March 17 for the coming year.
  3. In the Appointment Area, schedule an appointment for a St Patty's Day luncheon from 11:00am to 1:00pm.
  4. Using the New Appointment button in the toolbar, schedule an appointment for an online Webinar that begins on the first Friday in March and repeats for four Fridays total. The Webinar begins at 12:00pm and ends at 1:00pm.
  5. Using the File menu, schedule an appointment for the first Saturday in March for a dog groom, from 9:00am to 12:00pm, and set a 30 minute reminder.
  6. Switch to the Month view.
